General Information for EMR sites

1. Set the EMR flag (Please call Medinet for instructions)

The EMR setting does the following:

  • HL-7 data is appended to the file HL7.DAT.
    Delimiter is the MSH header line .
  • Text data is appended to the file MEDINET.DAT.
    Delimiter is the JJJJJJ header line.
  • Files containing both types of data are split.
    between the two DAT files.
  • The standard log sheet is appended to the file LOGS.DAT.
  • Text-format reports have a header on them for easy.
    EMR import and distribution. It always starts with
    six leading J's.

2. Extract the text and HL-7 reports

  • Move the files LOGS.DAT, MEDINET.DAT and
    HL7.DAT files to a working directory.
  • Extract the reports, and remove any text reports
    where you already have HL7 items.
  • In early stages of installation, it is good to compare
    these with the screen display, to ensure the EMR software is handling the data correctly.

There may or may not be more files in MEDINET.DAT than in HL7.DAT. We expect your software to match data in the two files as necessary, using the Medinet sequence number, and suppress the text data you don't need.

For automatic or scheduled importing: COMPLETED.TXT is created when a download is complete. In other words, you can grab the files if this flag file exists.

Please use LOGS.DAT to create a report list in the EMR that the client can compare to the Medinet printed logsheet. We require all EMR clients to print a copy of the Medinet logsheet, so they can compare it to an EMR log listing.

It is very important that clients have a method to compare the Medinet delivered batch to the EMR received files, to ensure that all reports are being delivered and received into the EMR.

3. Archive the DAT files

These should be saved on the local system with a time-stamped naming convention, in case the client needs to re-import the data.

Since we only hold data for about 8 days, we are not set up to resend data outside that timeline. We hope your clients understand the idea of archiving data, and maintaining an off-site backup.

4. Other information

  • For the moment individual mailNNNN files are created in C:\MEDINET\DATA. These are the files that print if a client does not have an EMR. This is for the convenience of EMR vendors who have not adapted to the MEDINET DAT and LOGS.DAT file formats. It is intended that individual mailNNNN files be discontinued for EMR clients in the spring of 2007. KATE - does this need to be removed?
  • LOGSHEET.TXT and SLOGSHEET.TXT exist every time. Whether or not a client is set for EMR, the log sheet will print. It will contain a list of reports, or perhaps an error message with an instruction to call us. You should not use these files for anything; that's what LOGS.DAT is for.
  • Please use LOGS.DAT to create a report list in the EMR that the client can compare to the Medinet printed logsheet. We require all EMR clients to print a copy of the Medinet logsheet, so they can compare it to an EMR log listing.
  • It is very important that clients have a method to compare the Medinet delivered batch to the EMR received files, to ensure that all reports are being delivered and received into the EMR.
  • Ignore RECORD.FIL.
  • TRACE.TXT is used for Medinet help desk debugging. You should ignore.
  • From time to time, we send generic system-wide messages to each of our office clients. These will print automatically, and need not be imported into EMR software.
